Terms & Conditions of Hire

At Goodysphere, we’re here to make experiences more inclusive, more accessible, and more enjoyable for everyone — whether that’s at a large public event, a birthday celebration, or within a school or care setting.

To keep things running smoothly for both you and us, the following Terms & Conditions apply to all bookings of the Goodysphere Sensory Bus.


Booking your date

Your booking is confirmed once a deposit has been received and written confirmation has been issued by Goodysphere Ltd.

We’re often holding multiple enquiries for the same dates, so any provisional bookings may be released if they are not secured within the agreed timeframe.


Deposits & payment

A non-refundable deposit is required to secure your booking.

Unless otherwise agreed in writing, the remaining balance must be paid in full no later than 14 days before your booking date.

For organisations working on invoice terms (such as councils, schools or charities), agreed payment terms must be followed. If payment terms are not met, we reserve the right not to attend or deliver the booking.


Cancellations

We understand that plans can change, but because your date is reserved exclusively for you, the following applies:

If you cancel more than 30 days before your booking date, your deposit will be retained but no further charges will apply.

If you cancel within 30 days of your booking date, the full remaining balance will still be payable.


Making changes

If you need to make changes to your booking (such as timings, location or package), please notify us in writing.

We will always do our best to accommodate changes, but this is subject to availability and may result in additional costs.


Access, space & setup

The Goodysphere Sensory Bus requires safe and suitable access to the booking location.

This includes appropriate space for parking and setup, and a safe, level area for operation. Any permits, permissions, road closures or access arrangements must be organised in advance by the hirer.

For schools and private venues, this includes ensuring suitable on-site access and positioning for the vehicle.

If we arrive and are unable to access or safely set up due to site issues not caused by Goodysphere Ltd, the booking will remain chargeable in full.


Weather & outdoor bookings

We are experienced in operating in a wide range of conditions; however, safety must always come first.

If weather or ground conditions make it unsafe to travel, park or operate — including but not limited to high winds, flooding, snow, ice or unsafe terrain — Goodysphere Ltd reserves the right to delay, adapt or cancel the service.

Where possible, we will work with you to find a suitable alternative, but this cannot be guaranteed.


How the space is used

The Goodysphere Sensory Bus is a calm, regulated space designed to support individuals who may otherwise find environments overwhelming.

It is provided as an accessibility and wellbeing space, not as a general entertainment attraction.

Our team will guide how the space is used throughout the booking to ensure it remains safe, supportive and enjoyable for everyone.

Session flow, time limits and access may be managed by Goodysphere staff to ensure fair and safe use of the space.


Use of service

Goodysphere Ltd reserves the right to manage access to the sensory bus in line with its intended purpose as an accessibility provision.

Priority may be given to individuals who require a calm, regulated space at the discretion of Goodysphere staff.


Supervision & responsibility

For private bookings, including birthday parties, the hirer remains responsible for the supervision of all attendees at all times.

For schools, nurseries and organised groups, supervision remains the responsibility of the setting’s staff throughout the booking.

Goodysphere staff are safeguarding trained; however, Goodysphere is not a childcare or supervision service, and attendees must not be left unattended at any time.

Goodysphere staff are responsible for managing the sensory environment within the bus.


Behaviour & care of equipment

All attendees are expected to use the space respectfully.

Goodysphere Ltd reserves the right to refuse entry or end a session if behaviour is unsafe, disruptive or likely to cause harm or damage.

Any damage caused through misuse, negligence or inappropriate behaviour may be charged to the hirer.


Health & safety

We operate with full insurance and risk assessments in place.

We are responsible for the sensory bus and its internal environment. The hirer or organisation remains responsible for the wider environment, including safeguarding, supervision and site safety.

Goodysphere staff are safeguarding trained and will always act appropriately if a concern arises; however, overall safeguarding responsibility remains with the hirer or organising body.

All Goodysphere staff delivering sessions within schools and community settings hold enhanced DBS checks and safeguarding training appropriate to their role.


Things outside our control

Goodysphere Ltd cannot be held responsible for delays, cancellations or failure to deliver services due to circumstances beyond our reasonable control.

This includes, but is not limited to, severe weather, road closures, traffic incidents, vehicle breakdown or emergency situations.

Where possible, we will always communicate clearly and act reasonably.


Liability

Goodysphere Ltd accepts no responsibility for loss or damage to personal belongings.

Nothing in these Terms & Conditions limits liability for death or personal injury caused by negligence, or any other liability which cannot legally be excluded.


Photography

We may take photographs or videos for marketing purposes unless you request otherwise in writing prior to your booking.

If your event or setting has specific restrictions, this must be communicated in advance.


Complaints

If you have any concerns, please raise them at the time of the booking so we can try to resolve them immediately.

Formal complaints must be submitted in writing within 7 days of the booking date.


VAT

Where applicable, VAT will be charged at the prevailing rate.


Acceptance

By paying a deposit or confirming a booking, you are agreeing to these Terms & Conditions.
